In just a few short years, the pivotal question has shifted from whether a business should adopt AI to how it should do so responsibly and effectively. The technology has come a long way and shows no signs of slowing down its development. And yet, this alone doesn’t translate into value.

How much value a business can extract from AI adoption depends on the employees’ mindset. Gains manifest only when your workforce understands and trusts AI systems while being able to meaningfully integrate them into their workflows. Here are the most effective strategies to facilitate this.

Identify high-value use cases

Spurred on by pressure to innovate, businesses often make the mistake of adapting AI tools first and only then looking for problems to solve with them. This may spur team experimentation, but ultimately results in few if any tangible gains. Worse yet, automating fundamentally broken processes will only entrench them and exacerbate the effects.

Identifying high-value use cases that the AI ​​could augment to reach concrete business goals is a smarter approach. Choose use cases with inefficiencies AI excels at addressing, like slow and inefficient decision-making or an abundance of underutilized data. Suitable candidates include:

  • Customer support, where AI can draft initial responses to queries
  • Retrieving and summarizing internal documents
  • Demand forecasting
  • Identifying and prioritizing cases with a high potential for fraud

Running an AI free trial on these use cases is an excellent first step. It enables teams to pilot AI in a low-risk environment, measure KPIs, and validate ROI before scaling deployment.

Assess data readiness

AI systems’ effectiveness and reliability correlate directly with the quality and abundance of information they’re trained on and handle. Consequently, teams have to assess whether the data that an AI will be exposed to and work with is suitable.

An assessment will confirm that such data exists in the first place and whether it is accessible or siloed off. With that established, a team may gauge the data’s quality. Timeliness, relevance, accuracy, completeness, and consistency are all factors to consider.

Some of the data the AI ​​will interact with is likely sensitive in nature. Privacy and compliance should be enforced from the early stages of adoption. Teams need to be aware of and enforce emerging legislation, like the EU AI Act, along with applicable industry-specific regulations.

Establish Governance and Identify Risk

Much can go wrong with AI systems if left unchecked. On the one hand, unclear or too broad permissions may cause data leaks. On the other, hallucinations and eventual model drift may cause the AI ​​to start producing erroneous responses or make decisions that no longer align with company goals. The solution is to impose governance and continuously monitor risk.

Teams shouldn’t view governance over AI as a restriction that stifles innovation. Rather, effective governance is a framework of prudent guidelines that ensures continued alignment and efficiency as you augment new processes and scale existing ones.

While specifics will vary by project, some general guidelines are universally applicable. Teams should identify risks, document their impact, and monitor for discrepancies. Most importantly, they should have the final say in sensitive decision-making and oversee expenses so that scaling AI operations doesn’t exceed budgets.

Integrate AI Agents Responsibly

Agentic AI is at the forefront of business transformation due to its ability to follow processes and take multiple actions. A standard LLM can draft to email. Meanwhile, an AI agent can pull customer data from a CRM to personalize that email, schedule a follow-up in a calendar app, and notify the sales team. This leap in autonomy lets AI agents make complex decisions, but it also introduces higher risks.

Responsible AI agent adoption requires pertinent limitations and oversight. Agents need to have a clearly defined and limited scope of permissions, meaning access should be granted only to the data and systems needed for them to function properly.

AI agents need to be vetted for transparency and auditability. Their decisions should be explainable and logically followed from visible reasoning steps. Additionally, AI agents’ actions should be easy to trace and catalog. Finally, agentic outputs shouldn’t be taken at face value. Humans need to regularly validate them to maintain quality and accountability.

Introduce change management

AI adoption likely won’t be met with universal approval. It’s reasonable for team members confronted with such a large change to worry about changes in responsibility and job security or loss of expectation clarity. Change management is pivotal to building trust and understanding of how AI will support rather than supplant human work.

Team leads and management bridge day-to-day operations and long-term strategy, so educating them is a priority. Once people in leadership positions understand when to augment decision-making with AI and when to defer to human judgment, team members will be more accepting of and responsible with AI tool adoption.

Proper training isn’t negotiable, either. All employees working with AI have to understand the tools they use and why it’s important not to introduce unsanctioned ones. More importantly, they also need to be aware of the associated risks and what data is appropriate for sharing.
